Mô tả chi tiết công việc

* GENERAL INFORMATION:
- Title: Secretary
- Direct superior: General Director
- Working time: 07:30 – 16:30, Monday - Saturday
- Off date: Sunday
- Salary: Negotiable
- Transportation: yourself
* JOB’S PURPOSE AND TARGET:
- Process orders from customers
- Summarize order/shipping details
- Field customer service requests
- Translate documentation for company
- Assist General Director in Management Tasks
* JOB DETAIL:
- Process orders from customers: Receive order from customer, check details, send order confirmation
+ According to Company Targets
+ Orders are processed in file directory and ERP
- Summarize Order / Shipping Details: Gather order/shipping information from other departments to create summary; update as necessary
+ Summary revised as needed, minimum weekly
+ Revised Summaries are sent out to relevant staff and to customer
- Field customer service requests: Work with other departments to gather and send information in response to customer inquiries
+ Respond to customer within 1 day
+ Appropriate department staff are consulted before sending response to customer
- Translate documentation for company: Translate between English and Vietnamese various forms, procedures, policies, for the company
+ Translate document according to company targets
+ Translated documents are signed off and acknowledged by document author for proper revision control
- Assist GD in Management Tasks: Making meeting minute. / Follow up task list / Social compliance leader / Others
+ Record all key point of the meeting.
+ All tasks are updated and sent to all depts within 24hours.
+ Follow SCR policy 100%.

+ Having internal auditing plan
* DAILY JOB
- 15% Receive Orders, maintain order/shipping schedule
- 15% Field Customer service requests
- 30% Translate documentation for company
- 40% Assist GD in Management Tasks
* RIGHT, RESPONSIBILITY AND DUTY
* Right
- To schedule meetings with relevant departments to obtain appropriate information for the purpose of answering customer service related questions from customer
* Responsibility
- Respond to customer’s emails
- Contact appropriate departments for information related to customer service inquiries
- Complete assigned job on time.
* Duty
- Must obey company policies
- Must immediately report to General Director any situations that can risk the safety of any persons inside the facility, or cause major damage to company property

Kinh nghiệm/Kỹ năng chi tiết

* SKILLS AND ABILITY:
* Must Have
- Attention to Detail
- Proficiency in MS Office (Outlook, Word, Excel)
- English Level: Bachelor’s Degree
* Should Have
- Experience in MRP / CRM / ERP system
